Refunds & rescheduling
This policy covers paid consultations offered by Cognitiveapicloud—pathway packages, document reviews, employer match sessions, and relocation briefings.
Eligibility overview
Refunds depend on whether work has started, how much notice you give, and whether materials unique to your case have already been prepared. Fees are for professional time and written deliverables, not for residence outcomes.
Cooling-off for distance bookings
If you book as a consumer at a distance, you may have a 14-day withdrawal right under German law unless you expressly request that we begin within that period and acknowledge that you lose the right once performance begins. Contact us promptly if you wish to withdraw before work starts.
Deposits
Pathway packages require a 40% deposit. The deposit is refundable in full if you cancel at least 7 days before the discovery interview and no preparatory review has begun. After preparation starts, the deposit covers time already spent and is non-refundable; remaining balance is not charged.
Full refunds
A full refund applies if we cancel a session and cannot offer a suitable alternative within 14 days, or if we decline the engagement after payment but before any work begins.
Partial refunds
If you cancel a single session (document review, employer match, relocation briefing) with at least 48 hours’ notice, we refund 50% of the session fee. Cancellations inside 48 hours are non-refundable. For pathway packages cancelled after discovery but before the written brief, we refund the unused balance minus discovery and research time already performed, itemised on request.
Non-refundable items
Completed written pathway briefs, completed session time, and third-party costs you separately authorize (for example certified copies you order yourself) are non-refundable. We do not sell physical goods; there is no shipping return process.
No-shows
Missing a scheduled call without notice is treated as a completed session for refund purposes. We may reschedule once at our discretion if you contact us within 24 hours and a slot exists.
Rescheduling
You may reschedule a confirmed session once with at least 48 hours’ notice at no charge. Further changes may incur an administrative fee of €40 or require rebooking at the current rate.
Work already started
Once we have reviewed your documents or held the discovery interview, fees for that portion are earned. Remaining package stages not yet delivered may be refunded or paused by written agreement.
Refund process and timing
Email info@cognitiveapicloud.digital with your name, booking date, and reason. Approved refunds are returned to the original payment method within 14 business days. Bank processing times may add several days.
